Notices and data: what the site does, what the office holds

Two separate things are described here. The first is this website, which is a set of files and does very little. The second is the paperwork the office at Unit 2 Govan Road keeps in order to run groups of children, which is the part that matters. KRSS ACADEMY LTD is the company behind both.

What this website is

Hand-written HTML, one stylesheet and one script, served as files. There is no content management system behind it, no database, no login, no form, no comment box and no shopping basket. Nothing you do on these pages is sent anywhere, because there is nowhere for it to be sent to.

The two planning aids — the session block planner on the home page and the band finder on age groups — run entirely in your browser. The numbers you type are not transmitted, not stored and not visible to the academy; close the tab and they are gone.

This site sets no cookies of its own and carries no analytics, no tracking pixel, no advertising tag, no social widget and no embedded map. The map of the site and the drawing of the hall are drawn in the page as SVG for that reason.

There is one request to another party: the two typefaces are loaded from Google Fonts, so your browser asks fonts.googleapis.com for a stylesheet and fonts.gstatic.com for the font files, and Google therefore sees that request and the address it came from. If you would rather it did not happen, blocking those two hosts leaves every page readable in your system's own typefaces — nothing on this site depends on the webfont.

What the office holds, and for how long

Enquiry emails: In the coaching@krssacademy.site account. An enquiry that does not become a place is deleted after three months, along with the date of birth in it.
Registration sheets: Paper, in the cabinet in the office at the unit. Held while the child attends and for one season after the last session, then shredded.
Registers and collection notes: Working documents for a session: who was in the hall and who was handed to whom. Held for one month, because that is how long a question about an evening tends to take to arrive.
Incident sheets: Held for six years in the office cabinet. A copy goes to the adult on the collection note on the evening it is written. These are the one record not deleted on request while the child attends — a sheet that records a hand-over or an injury is the point of writing it down.
Coach rosters and observation sheets: Held for two years so a coach can ask for their own hours and observations to be confirmed in writing. First-aid certificate expiry dates are noted in the roster file; copies of certificates are not kept.
Course day registers: Treated as registers: one month, then shredded with the rest.

Nothing on that list is sold, shared with anyone for marketing, or sent out of the office except where a copy goes to the adult on a collection note, or where a coach asks for their own record to be confirmed to a named recipient.

Asking what is held about your child

Write to coaching@krssacademy.site and the answer comes back in writing: what is held, where it is, and when it is due to be destroyed. A mistake in a registration sheet is corrected on the sheet and the correction dated. A request to delete is met for everything except an incident sheet and the register entry it refers to, for as long as the six years run.

If the answer is not what you expected, say so in the same thread and it will be looked at again rather than closed. The office is the unit itself, so there is nobody else in the chain to refer it to.

No individual is named anywhere on this site, including on this page. Where a parent needs to know who is leading their child's band, that comes in the written offer and at the door, not on a public page.

Accuracy of these pages

The bands, block lengths, ratios and windows described across this site are how the academy intends to run its floor. The written offer for a place is the document that binds, and where the two differ the offer is the one to go by. Days and start times change between seasons and are confirmed in writing each time.

The drawings, the text and the two planning aids on this site belong to the company. The planner and the finder print their own arithmetic so that it can be checked; neither of them is a quotation, and neither sets a ratio or a band for anybody.
